How the Guild Manager works
Everything a guild uses day to day, attendance tracking, roster management, applicant review, GVG lineups, reward distribution, and the bot commands members run themselves. This page covers every section of the app, and gets updated whenever a new feature ships. For what shipped and when, see the changelog.
Overview
The Guild Manager is where a guild runs everything related to GVG: who showed up, who's on the roster, who's applying to join, who's assigned where for the next raid, and how reward items get handed out fairly. The Discord bot feeds it attendance automatically by watching voice channels, and members can also check their own status straight from Discord without opening the site.
Each server ("guild") on the platform has its own separate roster, attendance history, and settings. Nothing crosses between guilds. If you manage more than one guild, use the guild switcher in the sidebar to move between them.
Signing in happens at /login with your Discord account, one click, and you land back on whatever page you were headed to.
The bell icon (top right, on every page) collects your activity, listings, rank changes, rewards, and attendance, including a nudge when you're marked absent, an acknowledgment on a 3-event attendance streak, a heads-up at 2 missed in a row, a daily reminder while a Gear Progress cycle is still due, and a note when your submission is approved. Most of these are bell-only; a few bigger moments (gear reminders, an accepted application, marketplace expiry, plan renewals) also arrive as a Discord DM. Clear all and per-row × declutter the bell without deleting anything: the full record, cleared or not, always lives at /notifications.
Roles & permissions
Access is layered: each level can do everything the level below it can, plus more:
- Verified member
- Anyone who has linked their Discord account (via /link) and holds the server's Linked role. Can view their own attendance, apply to guilds, self-report attendance, check their own reward eligibility, and leave a guild's roster themselves from the guild switcher in the sidebar (hover a guild, click Leave). Leaving is a soft removal, same as an officer removing someone, so rank/notes/history are kept in case they rejoin.
- Officer
- A per-guild rank set on the roster, or granted to anyone holding the community's Officer Discord role (mapped via /setup). Can review Applicants, add/edit members, resolve the Reward Distribution queue, and link alt accounts, scoped to that one guild only. Leaders can additionally hand-pick specific Leader-only actions to delegate via the Officer permissions panel in Guild Settings, grouped by area (Rewards, Event Types, Members, Roster Import, Lineup Builder, Attendance, Gear Progress) with a switch per action, everything starts off. Delegated actions show up exactly as granted: an Officer given only Manage excusals, only Add raids, or only Conclude & reopen batches sees just that control on Attendance, the Lineup Builder, and Batch Management, not the rest of that page's Leader-only actions.
- Leader
- Holds the community's Leaders Discord role (or is the community owner). Full control within every guild they belong to: Batch Management, running the Rewards Shuffle, editing GVG Event Types, viewing the History audit log, removing members, and configuring which of those areas Officers may use. Guild deletion, billing, and the Officer permissions panel itself always stay with Leaders.
- Owner
- Platform-wide administrator. Creates guilds, manages games, and can disable a Leader's access without touching their Discord role.
Dashboard
Every guild's home page, where guild links land after login. It reads like a game HUD: the guild banner with a live countdown to the next scheduled event, an attendance bar for the last battle, this month's gear-snapshot progress, and the guild's power trend across cycles.
Your standing & Quest log (everyone)
Rostered members get a character sheet, 30-day attendance, current power, lineup assignment, and last reward received, plus a quest log of things the guild expects from them (like uploading this month's gear screenshots). Quests tick themselves off automatically the moment the underlying thing is done; there's nothing to manually mark.
War room (Officer+)
One panel per queue that needs action: recruits awaiting review, attendance self-reports to verify, unresolved reward picks, and wavering members (miss streaks, gone quiet, never attended). Each panel links straight into the page where the work happens, and queues with nothing pending don't appear at all. Officers also get a chronicle of the latest audit-log activity.
Attendance
One dashboard per GVG event type (e.g. Guild League, Guild War, switch between them with the tabs at the top). Attendance is captured automatically by the bot from your configured voice channels, on the schedule set in Settings.
- Stat tiles, Next scheduled capture, last capture, latest event's attendance count, and total captures on file.
- Run Manual Capture (Officer+), Triggers a one-off snapshot of who's in voice right now, outside the normal schedule. Never overwrites an existing capture for the same day.
- Self-report, Any verified member can report their own attendance if the bot missed them, or request to be excused. The claim form opens as a popup with Event and Event date pickers listing only the guild's actual recent event days (from each event's schedule, plus days with attendance on file), so a claim always lands on a real event, never a wrong tab or a mistyped date. Leaders set how far back claims can reach (14 days by default, up to 30) from the settings icon on the Attendance page. The same popup holds the guild's GVG event types for anyone allowed to manage them, so the voice channels the bot watches, the snapshot times, and secondary captures can be checked and fixed without leaving the page. Officers approve or reject each request in the Pending Self-Reports queue, which shows claims for every event type.
- Date-range filter, All time, last 7, 14, or 30 days, or a custom From/To range, applies to the history list below.
- Attendance day history, Every capture, Auto or Manual, with who ran it. Expand a day to see every attendee (guild members vs. guests), and, Officer+, remove an attendee or excuse them with a reason.
- Overview grid, The full picture in one view: every roster member down the side, every event day across the top, with a lit tile for attended, a dark slot for absent, and E for excused. Filter by event type (or all interleaved), pick a date range, search members, and sort by attendance rate, each member's rate bar recomputes for the selected window, while miss-streak flags stay all-time. Days before a member joined don't count against them.
Members
Four pages under one sidebar group: Roster Health (the landing page for Officers and Leaders), Member List (the roster table, which every member can see), Preview (a shareable roster card), and History (the guild audit log, Leader only).
Members show with their Discord avatar on the member list, their profile, and their own standing panel on the guild home: the avatar they set for the guild's server first, otherwise their regular Discord avatar. Anyone the bot can't see in the server shows an initial instead. Pictures load straight from Discord and update on their own when someone changes theirs.
Roster Health (Officer+)
A card grid of everything that needs a decision, so you see the summary before the roster.
- Needs attention, Members with an active miss streak, a never-attended gap on a specific event type, or who have gone quiet, worst signal first, with a scope breakdown across the top.
- Gear cycle, How many members have submitted this cycle, how many are waiting on officer review, how many clear every stat target for their role, and an expandable list of who hasn't submitted yet.
- Doing well, The positive counterpart: perfect attendance for the selected range, the longest current attend streaks, and members meeting every target for their role.
- Roster data gaps, Members with no class, role, or IGN set. A member with no role gets no gear status chips and never appears in Lineup Builder, so this catches half-filled roster rows that would otherwise fail silently.
- New & trials, Who joined recently and who is currently on Trial, so you know who might want a check-in. Trials auto-promote on their own schedule, so there is nothing to action here, it is purely who is still settling in.
- Account linking, A progress bar for how many members have linked their website account, since unlinked members can't submit gear or file excuses from the site.
- Recent changes, The most recent class/role edits and gear stat activity (submitted, officer-recorded, or approved), each with who and when, so updates don't slip by unnoticed.
- Thresholds (Leader), The settings icon on the page sets how many quiet days count as inactive, how long an attend streak has to be to show under Doing well, and how long someone counts as new. Each field shows its default and marks the ones you have changed.
My Profile (everyone)
Click your name at the bottom of the sidebar and choose My Profileto update your own IGN, Class, and Role for any guild you're rostered on, from anywhere on the site, no officer needed. Rank stays officer-managed, and self-edits show up in History like any other change.
Import roster (Officer+)
Members → Import roster brings an existing spreadsheet in at once: upload a CSV or paste cells straight from Excel/Google Sheets, map your columns to IGN/Class/Role/ Discord, then review every row before anything is written. Rows are matched to real Discord accounts from the community server, by Discord handle, by IGN, or against the existing roster (those become updates). Unmatched rows get a picker with suggestions, misspelled classes a fix-it dropdown, and anything unresolvable is skipped, never guessed. Up to 300 rows per import; every change lands in the audit log marked “Spreadsheet import”.
Member List
- Add Member (Officer+), Search a Discord username/nickname, then set their IGN, Class, Role, and Rank. If someone isn't on Discord at all, the “They're not on Discord? Add them anyway” option adds them with just their game details, they carry a “Not in Discord” tag and work everywhere (manual attendance, rewards, lineups), and can be merged into a real Discord account from their profile if they join later.
- Composition filters, Live counts by Class and Role above the table. Click any chip to filter the roster to it, click again to clear, and class plus role stack together. The chips and the table's own dropdowns are the same control, so they always agree, and the counts stay at full-roster totals rather than collapsing as you filter.
- Export, A CSV export of attendance for the selected date range.
- Roster table, Search by IGN or Discord name, filter by Class/Role/Rank. Class, role, and rank tags sit under each member's name, and every event column shows compact attended and missed counts (last 7 or 30 days, all time, or a custom range; hover a cell for the full breakdown including excused). An all-time streak badge rides each cell: red with a count for 2 or more consecutive misses, green for 3 or more attended in a row. Click an event header to sort by miss streak. Officer+ can edit inline; Leaders can remove a member.
- Departure alerts (Officer+), Whenever someone leaves or is removed, whether they left the Discord server themselves, were kicked, or an officer removed them here, every other officer+ gets a bell notification pointing at the Lineup Builder so a stale party slot doesn't sit unnoticed. Their IGN, class, role, rank, and notes are kept in case they come back.
Member profile
Click any member to open their profile: a character-sheet style page tinted with their class color, with at-a-glance vitals cards (per-event attendance, rewards, gear snapshot status) under the header.
- Profile hero, IGN with color-coded class, role, and rank tags, join date, points balance, current gear score, and “claimed this cycle” badges. Officers can edit IGN/Class/Role in place, Leaders can edit Rank.
- Notes (Officer+), Free-text notes for context, leave dates, promotions, warnings.
- Linked accounts (Officer+), If a member plays from two Discord accounts, link the alt to their main here so they only ever appear once across Attendance, Rewards, and Lineup Builder. See below.
- Merge into Discord account (Officer+), Only on “Not in Discord” members: once they've joined the server, pick their real account here and everything, attendance, excusals, reward claims, lineup slots, gear snapshots, moves over to it in one step.
- Attendance history, Every date for every event type, side by side, with an Attended / Excused / Missed status and a miss-streak callout.
- Rewards, Every recorded claim for this member, most recent first.
- Gear Progress, Current cycle status, full snapshot history, and (Officer+) an inline “Enter values” form that records an entry right from the profile, no detour to the gear page.
- History (Leader), The audit trail for this specific member, every edit, claim, and attendance correction, who did it, and when.
A read-only roster preview (grouped by rank, no edit controls) is available from the Members page for sharing outside the app.
Applicants
Anyone who has joined a guild's own Discord server (and signed in here with the same account) can apply from that guild's Apply page, submitting an IGN, Class, and Role.
- Review queue (Officer+), One row per pending application, with Accept or Reject. Accepting adds them to the roster immediately (starting on Trial rank if the guild has that enabled in Settings); rejecting declines the application.
- Pending count badge, The Applicants link in the sidebar shows a live count of anything waiting on review.
- Recruitment visibility (owner), Each guild picks one of three states in Guild Settings: Listed (shown in the public guild list, open for applications), Unlisted (hidden from the list, only the direct apply link works), or Closed (applications refused entirely, even with the link).
Lineup Builder
A planner for assigning the roster into raids, squads, parties, and slots, all on one page, with drag-and-drop, tap-to-place, and menu-driven moves side by side.
- Presets, Complete alternate lineups, different raids, squads, and assignments per strategy (e.g. one for Guild League, another for Emperium Overrun). Switch via the dropdown at the top; rename with the pencil right in the list; Duplicate copies the current lineup into a new preset as a starting point; Apply to pushes the current lineup onto presets you already have, replacing theirs in place (tick the ones to update, confirm once), so a big roster change does not have to be rebuilt preset by preset. Multiple presets are a premium feature, the free tier runs on one.
- Raids (Leader), Every raid shows on the same page, stacked. Rename a raid by clicking its name, set its Commander/Leader, size its party grid (shrinking returns bumped members to the pool), remove it, or add another, up to 6.
- Squads (Officer+), Named sub-groupings per raid with their own description and color, for guilds that organize by squad.
- Assigning members, Drag from the Unassigned Pool into any open slot, or tap a member, then tap a slot. Dropping onto an occupied slot swaps the two members. A member flagged for a miss streak, or currently on the Leave list, shows a warning badge wherever they're placed.
- Moving whole parties, Drag a party header onto any squad, including a squad in a different raid, or use the Move button beside the party name for a raid → squad menu. Cross-raid moves renumber both raids automatically.
- List view, The panel behind the List view button re-arranges everything without board dragging: raids, squads, and parties each get ↑↓ arrows and a drag handle that works on touch screens.
- Leave list & Preview, A separate drop target marks someone on leave for this GVG. Preview opens a clean, read-only view of the current preset, one raid at a time.
Gear Progress
BetaOnly visible if a guild has Gear Progress turned on in Settings. Tracks each member's in-game gear and stats cycle over cycle, against an attribute list configured per game (for example Combat Power, PVP stats, and Valkyrie Feather tiers for Ragnarok Origin Classic). Some stats only apply to certain roles, DPS-only secondary stats never clutter a Support's form. A member can submit as often as they like, only their latest submission for the current cycle counts.
- Submit your values, Fill in the stats you have for the current cycle, grouped exactly like the game shows them (gear score, primary stats, secondary stats, equipment), attach up to 10 proof screenshots, and submit. Each field shows your current saved value plus a one-word status chip (Good, Off-target, or Missing when targets are set), and a summary bar counts how many stats you have on record. Resubmitting while pending replaces your previous submission.
- Gear Insights, My Gear Progress opens with a personal panel: your main score against the guild's target for your role with a progress bar and growth since last cycle, a biggest-gaps-first list of stats to work on with exact numbers, stats already at target, and anything with no value on record yet. Without targets it still shows your score, growth, and missing stats.
- Stat targets (Officer+), Officers set ideal stat values per role (e.g. a Combat Power benchmark, PDEF for tanks vs DPS) from the settings icon on the Gear Progress page or in Guild Settings → Stat targets. Members only ever see status chips on the form; exact numbers appear in their own Gear Insights. Blank means no target for that stat.
- AI auto-fill (paid plan), On paid communities, an Auto-fill button reads the proof screenshots you've attached and fills in any stat it can find, only into fields you haven't typed in yourself. Review, complete the gaps, and submit through the same review queue. If the AI is busy or can't read a screenshot, manual entry always still works.
- Officer review, Member submissions land in a pending queue on the Roster Review page (its own entry under Gear Progress in the sidebar, with a pending count badge that pops the section open when reviews are waiting), collapsed to one line per member, expand to compare submitted values against the member's current entry (with deltas) and open the proof screenshots. Officers can approve, reject with a reason the member sees, or flag just the specific field(s) that look wrong, the rest of the submission is still approved, the flagged field(s) are left untouched, and the member gets a notification naming them so they can resubmit only those. Officers can also enter or correct any member's values directly from the roster table, no queue.
- Gear progress overview (Officer+), Guild-wide cards (average gear score, submissions this cycle, pending reviews, top gainer) above a sortable roster table with each member's score, ▲/▼ change vs. their most recent prior cycle, and a Submitted/Pending/Missing/Never status chip with the last submission date. A new cycle never blanks the table: members who haven't submitted yet keep showing their latest known score and stats, marked "as of" the cycle they came from, and the average runs on latest known scores. Missing means they have past data but nothing this cycle; Never means they have never reported gear at all, and both groups are listed separately above the table for chasing. Every row action sits behind the ⋯ menu at the end of the row. View stats opens a popup with their full stat sheet and a cycle-by-cycle score progression; Enter values opens a form pre-filled with what's already on file, and saving only overwrites the fields you actually changed. Stats carry forward between cycles, so a member only re-enters what actually changed and a value reported in an earlier cycle still counts as current (it shows as “carried” in the stat sheet). Only a stat that has never been filled in on any cycle counts as a gap, and those members can be nudged with Notify to complete, which asks for confirmation and then sends a DM and bell notification naming exactly which stats are still blank.
- Entry limits, An attribute can optionally be given a min/max range (set on the attribute in Guild Settings → Gear attributes, or on the game's catalog by the platform owner), shown as a hint under the field and enforced on both member and officer entry, so a field like an equipment tier isn't left to guesswork.
- Your history, Every past cycle you've recorded, with your gear score and a ▲/▼ change vs. the cycle before, expand any entry for the full attribute breakdown.
- Score everywhere it helps, The game's main score (e.g. Combat Power) also shows as a sortable column on the Members roster, next to each assigned member while building a lineup (not in the shareable Preview), and on member profiles.
- Configurable attributes, The platform defines each game's attribute catalog; guild Leaders can switch individual attributes off for their guild and add their own custom ones in Guild Settings → Gear attributes. The game's primary score is always on.
- Linked and optional attributes, Two attributes can be linked as build-dependent alternatives (e.g. Physical Attack vs Magical Attack) so a member only fills whichever applies to them, the other is never flagged missing. An attribute can also be marked optional, meaning nobody has to fill it at all, in Roster Review, notify-to-complete, or anywhere else. Both are set per attribute in Guild Settings → Gear attributes (or on the game's catalog by the platform owner).
- Cycle length, Leaders pick how often a new cycle starts, weekly, bi-weekly, monthly, or quarterly, in Guild Settings → Gear Progress. Changing it only affects future cycles; past entries keep the label they were recorded under.
Rewards Hub
Only visible if a guild has Rewards Hub turned on in Settings. The hub is an accordion group in the sidebar: Overview, Priority Rotation(the batch/shuffle mechanic below, formerly just called “Rewards”), Reward Distribution, Treasury, Dice Roll (when enabled), Round Robin (when enabled), Wishlist (when enabled), DKP and Quests (both when DKP is enabled), and History. Officers see everything; regular members see Reward Distribution (read-only, with a pending badge after a shuffle), My Claim History, and whichever of Treasury, Dice Roll, Round Robin, Wishlist, DKP, and Quests are turned on.
Treasury
The single home for everything the guild distributes. Rotation items (e.g. Puppet Fragment, Feathers) recur every batch and run through Priority Rotation; each can optionally track a quantity, where remaining stock is the running total minus everything already claimed, claims are blocked once it hits zero, and officers top the total up as new supply drops. Single drops are concrete items the guild acquired (a boss drop, a rare accessory): add one with an optional image, then either queue it into a rotation (the next eligible member gets it) or hand it out directly to a member with a required reason. Every hand-out shows the winner, the mechanic, and the reason to the whole roster. Managing the Treasury is its own delegable Officer permission; viewing it is not gated.
Rotation item configuration (add, rename, sub-currencies, archive/restore) moved here from Settings. Round Robin (below) draws from this same Treasury.
DKP
A points economy: members earn DKP automatically for attendance. Turn it on in Guild Settings, then set earn rules per event type (points per attendance, plus an optional on-time bonus for priority-window captures). Every balance is derived from an append-only ledger, so nothing is ever lost by toggling the feature off and on, and re-captures can never double-award. Members see their own balance, their history, and how points are earned; the leaderboard is visible to everyone or officers only, per the visibility setting. Officers with the manageDkp permission manage rules and can credit or debit any balance with a required, member-visible reason. Balances never go below zero.
Optional bonuses, each its own toggle and all off by default: win bonus (an officer marks an event day as a win and everyone counted that day earns extra), attend streak (every N of the same event in a row), gear submitted (an approved Gear Progress submission, once per cycle), perfect week (attended every tracked event of the previous Monday-to-Sunday week), trial graduation (once, when a member leaves Trial rank), referral (the application form gains an optional “Invited by” field, and the named member is credited when the applicant is accepted), and donations (officers log item donations from the Treasury page and type the points per donation).
Guild Quests
Officer-posted quests members complete to earn DKP, the enticement/leaderboard layer on top of the economy. Posting, closing, and judging quests is its own delegable Manage quests officer permission, separate from manageDkp. Each quest is completed either by submitting a proof screenshot (an officer review queue, same pattern as Gear Progress submissions) or by attending a specific event day (pick an event type and date; a member captured for that exact occurrence completes it automatically, no submission needed). Per quest, officers set how it repeats (once, daily, or weekly; daily/weekly reset on the Manila calendar day/week) and an optional slot limitfor “first N” bounty-style races (a full quest still shows to everyone, just without the submit button). An optional end date closes it automatically to new attempts. The roster gets a notification when a quest is posted; members get one when their proof is approved or rejected (with the officer's reason). Closing a quest stops new attempts but never touches points already paid.
DKP Auctions
Spend points on treasury items. An officer starts an auction from an Available single drop with one of three sale types: Bid + Buy now (bid normally, or pay the buyout price to win instantly), Bid only, or Buy now only (a fixed price sale, first member to pay wins). Auctions run on a 24/48/72 hour timer or close manually; a bid in the last 5 minutes extends the timer by 5 minutes so nobody wins by sniping. Bids never lock your points and losing bids cost nothing; the winner pays exactly their bid when the auction settles, and a winner must still afford their bid at close. Two visibility choices per auction: bids can be Public (live top bid and name) or Anonymous (each member sees only their own bid), and results can show the Full bid list or Winner only (losing bidders stay private forever; the winner and price are always shown). The roster gets a notification when an auction opens, the top bidder when they're outbid, and everyone involved when it settles. Officers can close early, cancel (nobody pays), or undo a finished auction, which refunds the winner and returns the item to the Treasury.
Dice Roll
Free, random distribution with no DKP involved, so it works whether or not your guild runs DKP. An officer opens a roll on any available treasury item, choosing who can roll: everyone on the roster, or only members who attended a specific event day. Eligible members roll once, 1-100, either from the dashboard or a Roll button on the Discord announcement, and highest wins. Every roll is visible to everyone as it comes in; that transparency is the point. A tie automatically triggers extra rounds for just the tied members (the system rolls again for them, no action needed) until there's a single winner. Roll sessions run on a timer (24/48/72 hours) or close manually, and officers can cancel an open one (nobody won) or undo a closed one (one level).
Round Robin
A fixed queue: the next treasury item always goes to the next person in line. An officer creates a rotation and picks how the initial order is built: join date, attendance rate (best 90-day rate first), lineup order (your most recent Lineup Builder preset), a hand-arranged list they build themselves, or a one-time random shuffle. Whichever mode is picked, the order is snapshotted once at creation. It never reshuffles after that, and members who join later are simply added to the back of the line. Distributing an item offers it to whoever the cursor is on; they accept it (win recorded, cursor moves on) or pass(cursor moves on, no win recorded, they're automatically back up once the queue comes full circle). Officers can also decide on a member's behalf and reorder a hand-arranged rotation with up/down arrows. Every offer, accept, and pass is logged in the rotation's own turn history.
Wishlist
Members pick a ranked list of items they want, up to a per-guild slot limit (default 5). Officers add the guild's own item catalog (name, optional category like “Weapons” or “Armors”) under Manage items on the Wishlist page; members fill their slots from that catalog. Changing a filled slot has its own cooldown (default 7 days, leader-configurable, or off) so nobody can re-target their list the moment loot drops, but an empty slot is never locked and reordering costs nothing. Link a Treasury item to a wishlist item and a “wishlisted by” count shows up on that Treasury card, and on the same item wherever it's up for a DKP auction, a Dice Roll, or a Round Robin offer, so officers running the distribution can see who wants it. Wishlist never grants anything by itself, it's visibility only.
Rewards Shuffle (Leader)
Pick an attendance day, then Run Shuffle to randomly draw winners, weighted by attendance priority (on-time attendees are weighted ahead of late ones). Everyone eligible that day is included in the shuffle, even members who already claimed this cycle, but a fully-claimed item simply won't create a new pending pick for them. Undo last ceremony reverses the most recent run if something went wrong. A new shuffle needs a clean slate: every pick from the previous run must be handed out or skipped on Reward Distribution (or that distribution concluded) before the button unlocks.
Batch Management (Leader)
- Totals, All-time claim and skip counts per item type.
- Record claim, Manually log a claim for a member outside the shuffle flow, search their name, add an event label, and a quantity.
- Search, sort & date filter, One control bar over the claimed lists: search by member name, sort by newest claim (the default), name, oldest claim, or highest quantity, and narrow to a date range.
- Conclude batch, Closes out the current cycle and archives it into history, so eligibility resets for the next round. Undo is available only while the new batch has no claims yet, once claims land, the conclude is locked in.
Reward Distribution
The day-to-day hand-off queue, one row per member with every pending item they've won, split into a Priority members section and a Fallback members section. Within each section, anyone still owed an earlier-configured item sorts to the top, items always hand out in the order they're configured in Settings. Any Verified member can open this page and see the full queue, including their own position, it's read-only for them, only an Officer+ gets the Claim/Skip/Conclude controls below. Each item resolves independently: Claim it (entering a quantity, or the item's two sub-currency amounts if it's configured for that) or Skip it, skipping never removes someone from future reward pools, it just means they didn't collect this time. A missed last batch badge flags anyone who didn't claim in the most recently concluded cycle, only shown to members who were already in the guild when that batch closed, a member who joined afterward was never eligible for it.
Claim History (Leader)
A searchable report per item type and past cycle, who claimed and who's still pending, plus a CSV export. A member claimed more than once in the same list is flagged with a ×N badge. The Recent claims trail shows every claim across every item newest first, with the batch each claim was counted toward, an item and batch filter, and pages of 25.
My Claim History (member)
Regular members see their own scaled-down version of the same page instead of the Leader table: one card per batch, showing exactly what you received, the date, and the GVG event, plus your running total. Batches you got nothing from stay out of the way except the current one, so it always reads as your live status.
Insights
Officer-and-above analytics across every feature, on one page. A 30/60/90-day range switcher up top controls every day-windowed number on the page at once (weekly charts, turnout, rewards volume, the recruitment funnel). A KPI strip below it shows the guild's pulse: active roster with 30-day net change, the 4-week attendance rate against the 4 weeks before it, average Combat Power against the previous gear cycle, gear submission coverage, and how many members are currently flagged at risk.
- Attendance, Weekly rate trend per event type, average turnout by weekday (spot your weak GVG day), excusal and self-report volume, a Needs Attention list (miss streaks, members whose rate dropped 25+ points vs the prior month, and no-shows), and a Most Reliable leaderboard. Excused absences never count against anyone.
- Combat Power, Guild average CP cycle over cycle, top gainers since the last cycle, average CP by role, and how many members haven't submitted gear this cycle. Averages count members who submitted that cycle.
- Roster, Joined vs left by week (within the selected range), role composition, rank counts, trial-member count, and median tenure.
- Rewards, Distribution fairness: who's gone longest since their last reward (Trial members excluded), items handed out in the selected range, shuffles run, and the claimed/skipped split.
- Recruitment, The application funnel for the selected range: applied, accepted (with rate), rejected, pending now, and how many accepted members are still on the roster.
Member names in the lists link straight to their profile page, so a flag turns into a conversation in two clicks.
History (audit log)
Leader-only. Every meaningful action across Members, Attendance, and Rewards, in one filterable log, who did what, to whom, and when. Filter by action type, by member (name or Discord ID), or by date range.
Marketplace
A public buy/sell board, open to every Verified member across all guilds. It's listing-only, there's no payment or escrow in the app. Buyers message the seller on Discord and the trade happens between you.
- Posting, Pick a game and category, set Selling or Buying, a title, a price in pesos, and optionally a server, description, and image. Your listing shows your in-game name alongside your Discord handle so buyers know who they're dealing with.
- Images, Paste a direct image URL. Avoid links copied straight out of a Discord chat, Discord signs those and they stop working after about a day, leaving your listing with no picture. Use a proper image host instead.
- Listings expire after 3 days, This keeps the board honest, nobody wants to message about an item that sold last month. A day before yours expires you get both a Discord DM and a notification in the bell icon (top right), each with Extend and Mark sold buttons, whichever you pick resolves it on the spot, no need to open the listing.
- If you miss both, The listing comes off the board but isn't deleted. It stays under My listings marked Expired, with a Relist button that puts it back for another 3 days. My listings also shows a live countdown on everything still active, so you can extend early. The Discord DM can fail silently if you have DMs closed for that server, the bell notification is the reliable fallback.
- My listings, Everything you've posted, with active and total counts, and per-listing controls to edit, extend, mark sold, or delete.
- Editing, While a listing is still Active, its owner (or a Leader) can edit every field, type, category, title, price, server, description, image, from the listing page's Edit button. A sold or expired listing can't be edited; relist it first.
Game Guides
The community's guide-writing hub, at Game Guides in the sidebar. Any Verified member can write guides for the public site and earn points for publishing.
- My Guides, Every guide you've written as a card showing its state: Draft (keep writing or delete), In review (preview or withdraw back to draft), Published (live on the site), or Needs changes (the reviewer's note shows right on the card, revise and resubmit).
- Writing, New Guide opens the full editor in a popup, title, game, category, cover image, and a rich-text body. Submitting sends it to the review queue; a Leader approves it before it goes public.
- Points, The strip at the top shows your balance; tap it for the full history of every point earned, publishing guides, receiving votes, and view milestones. Points feed the Points System rankings.
- Review queue (Leaders), Guides awaiting review open in a quick popup, read the full formatted guide, then Approve or Request changes with a note, without leaving the page. Pending comments awaiting moderation live in the same hub under their own tab.
Feedback & requests
Two ways to ask for something, one place they land. Requests are private: only the Omnis team sees them, and you only ever see your own.
- Request a game, In the New Guild picker, every supported game shows as an icon tile. If yours isn't there, Don't see your game? Request it turns the same panel into a two-field form: the game's name, and optionally a line about your community. You'll get a notification when it's added.
- Suggest a feature, Account menu > Feedback > New request. Pick Feature or Game, give it a title and explain what it would let you do. Feature requests need a description; game requests only need the name.
- Your requests, The second tab in Feedback lists everything you've sent with its current stage: Submitted, Under review, Approved, In progress, Shipped, or Declined. Tap one to see the full pipeline and any note from the team. Every status change also arrives as a notification.
- Requests inbox (platform owner), Platform Admin > Requests. Opens on what still needs triage, filters by Games, Features or Closed, and shows an Owner tag next to anyone who runs their own community. Expand a row to read the full request, pick the stage it's moving to, add an optional note, and Save and notify sends both to the person who asked.
Settings
All three of the below live on one page per guild, Guild Settings, under Manage Guildin the sidebar, or the gear icon on that guild's Dashboard. General Settings only renders there for whoever actually owns that guild's community; other Leaders still see GVG Event Types and Reward Items.
Guild identity (owner, per guild)
Guild name, game, and an optional emblem: upload any image and it's center-cropped to a 120×120 square automatically, no need to pre-crop it yourself. Shown in the guild switcher, the guild picker, and the guild's own Dashboard banner. Falls back to the game's icon, then a letter avatar, when unset.
GVG Event Types (Leader, per guild)
Defines the recurring events that Attendance, Members, and Rewards all track, e.g. "Guild War", "Guild League". For each event type:
- Label & timezone, Display name, and the timezone its schedule runs on.
- Auto-capture schedule, Pick days of the week and a time (or drop into advanced raw-cron mode). The primary schedule is the only one that counts toward Rewards Shuffle priority, any number of secondary schedules can be added for attendance tracking that doesn't affect priority.
- Voice channels, Pick which of the server's voice channels the bot watches for this event type, type to filter, click to add, and remove any pick with its ×. No need to copy channel IDs by hand.
Removing an event type archives it, rather than deleting it, its attendance history is kept and it can be restored from the "Show deleted event types" list, but the removal itself needs typing the event type's key to confirm. Its key stays reserved even while archived, so recreating one with the same name gets a fresh key (`key_2`, etc.) and never mixes history with the one that was removed.
Rotation Items (moved to the Treasury)
What used to be the “Reward items” panel here now lives on the Treasury page, the single home for everything the guild distributes. The Settings card just links there. Everything still works the same: any number of items, optional split into two named sub-currencies (e.g. Light & Dark and Time & Space), archive instead of delete with full history kept.
General Settings (Owner, per guild)
- Guild name, Display name shown everywhere in the app.
- Game, Which game this guild belongs to, controls the Class/Role options available across Members, Applicants, and Lineup Builder. Locked after setup, since changing it later would desync existing members' class/role and any Gear Progress data from the new game's picklists. Use the Request a game change link to have it migrated by support.
- Rewards Hub enabled, Shows or hides the entire Rewards Hub and reward sections on member profiles.
- DKP enabled, Adds the DKP page under Rewards Hub, with a leaderboard visibility choice (everyone, or officers only). Balances are ledger-kept, so nothing is lost by toggling it off.
- Dice Roll enabled, Adds the Dice Roll page under Rewards Hub. Free and random, independent of DKP.
- Round Robin enabled, Adds the Round Robin page under Rewards Hub. A fixed queue, ordered by join date, attendance rate, lineup order, a hand-arranged list, or a one-time random shuffle.
- Wishlist enabled, Adds the Wishlist page under Rewards Hub. Slots-per-member and the change cooldown are configured there.
- Use game default events, Adds the platform owner's default GVG event types for this guild's game as its own editable event types (tagged "Game default" below), a one-time copy, not a live link, so it can be edited or removed like any other. Turning this off never removes event types the guild already has.
- Give priority to on-time attendance, On by default: members captured during an event's primary schedule get first pick at ceremonies, everyone else fills in after. Turn off if your guild doesn't care about timing, just showing up, and every attendee should have equal odds regardless of when they were captured.
- Start new members on Trial rank, New applicants start as Trial instead of full Member when accepted.
- Trial days, How long before Trial members are auto-promoted to Member. Trial members are excluded from reward eligibility while on Trial.
- Gear Progress enabled, Shows or hides the Gear Progress section, per-member stat tracking with officer-reviewed submissions.
- Cycle length, How often a new Gear Progress cycle starts: weekly, bi-weekly, monthly, or quarterly. Only shown while Gear Progress is enabled.
- Gear attributes, Leaders choose which of the game's gear attributes this guild captures (the primary score is locked on) and can add custom attributes with their own value type and role restriction. Archived custom attributes can be restored.
- Discord overrides, Point this guild at its own attendance and rewards alert channels, and optionally grant Leader or Officer access for this guild via its own Discord role. Anything left blank inherits the community-wide default from Settings, Discord. Built for communities running multiple guilds in different games.
- Recruitment visibility, Listed (default) shows the guild in the public guild list; Unlisted hides it so only people with the direct apply link can apply; Closed refuses applications entirely. A Copy apply link button sits right next to the options.
- Delete guild, Permanently removes the guild and everything in it, roster, attendance, reward history, lineups. Requires ticking an acknowledgment checkbox and then typing the guild's name to confirm, and cannot be undone.
Plans & billing
The platform runs on a simple two-tier model per community (one Discord server = one community). Nothing here affects regular members day to day, plan management is the community owner's concern, under Settings → Plan & Billing. - Free tier, Guild roster (Members, ranks, notes, import) up to 50 active members, Applicants (applications and the accept flow), the Lineup Builder with one lineup preset, Attendance (auto voice capture, self-reports, excuses, streaks), and Gear Progress manual entry, forever free. Attendance and Gear Progress history show the last 30 days.
- Paid plan, Raises the caps to 3 guilds and 300 members, and unlocks Rewards, multiple lineup presets, AI gear auto-fill (stats read from proof screenshots), full attendance/Gear Progress history, CSV exports, Insights (the officer analytics page: attendance health, Combat Power trends, roster movement, reward fairness, and the recruitment funnel), a custom guild accent color (tints your browse row, roster preview band, and /lineup embeds; set it in Guild Settings, reset to stock gold anytime), and custom class/role tag colors (every game's classes and roles already come with a default color assigned when they are created, free for all guilds; the paid override lets you change that color coding on Members, Lineup Builder, and Applicants per class or role in Guild Settings, and Reset returns a tag to its game default; a lapsed plan keeps showing your saved colors, it just locks further edits). Priced per community per month, the current price is shown on the Plan & Billing page.
- Adding Omnis to your server, Use the Install Bot button (homepage or login page), it installs the bot on your server and signs you in here in one step. Discord asks for Manage Server permission to add it. The bot posts a welcome guide with the setup steps, and a server admin can run /setup right in Discord to map your Leaders role, Officer role, and alert channels with native pickers, no IDs to copy.
- Free trial, Installing the bot on a new server starts a full-access trial automatically, no card needed. It's once per server: reinstalling the bot doesn't restart it.
- Usage & limits, The Plan & Billing page shows live usage bars for your guild slots and roster members against your plan's caps, and (during a trial) how many trial days are used, so you can see how close you are to a limit before you hit it.
- Missed payments, Premium features stay on through a short grace period, then the community drops to the free tier. Nothing is deleted, attendance history and rewards all come back the moment the plan is renewed.
- Payment, Pay from the Plan & Billing page. Xendit's hosted checkout supports GCash, Maya, GrabPay, ShopeePay, QR Ph, online banking, and over-the-counter payments (7-Eleven and other outlets); card payments are coming soon. Choose a term before paying: Monthly, or Quarterly/Annual at a discount set by the platform owner. A payment renews the plan for that term's length (30/90/365 days) from whichever is later: today, or the current period's end (so paying early never costs you time). The Payment section always shows when your plan is active until (or your trial ends, or your grace period runs out), right above the Pay button, so you know where you stand without waiting for a reminder.
- Payment history, The Plan & Billing page lists your recent checkouts with their status and which term each one bought. An unpaid checkout stays open for an hour, and you can resume it from the same list; after that it expires on its own and nothing is charged. Xendit emails an official receipt for every completed payment.
- Referral codes, If you have a referral code, enter it on the Plan & Billing page before your first payment, it's a one-time discount on that first checkout only, not on renewals, and only on the Monthly term (Quarterly/Annual already carry their own discount, the two never stack). Codes are issued by the platform owner, not self-serve.
- Reminders, Renewal is manual, there is no auto-charge. The bot DMs and bell-notifies you (and emails you, if you've logged in on the site with Discord) a few days before your plan or trial ends, and again before a grace period runs out, plus a confirmation when a payment lands. If the platform owner extends your trial, you'll get a bell notification and DM for that too.
- Deleting your data, A community owner can permanently delete everything, roster, attendance, rewards, lineups, from Settings → Community. It's behind three confirmation steps (re-verifying with Discord, an email code, and typing the community's name) since it can't be undone. Payment records are kept for accounting.
Discord bot commands
Members can do most day-to-day things straight from Discord, without opening the site. The same list is one tap away in the app: the Bot commands button on your Dashboard opens it as a searchable popup.
