Privacy Policy

This policy covers OMNIS Guild Manager ("OMNIS", "we", "us"), a Discord bot and web dashboard for running a Discord gaming guild. It applies to anyone who signs in with Discord, is added to a guild's roster, or interacts with the bot in a server that has OMNIS installed.

From Discord, when you sign in or the bot sees you in a server:

• Your Discord user ID, username, and avatar.
• The Discord servers (guilds) you're a member of that have OMNIS installed, and your roles within them.

Submitted through the dashboard or bot commands:

• Roster and rank data, attendance records, applicant answers, lineup setups, and gear progress entries.
• Proof screenshots you upload for gear progress or quest submissions.
• Payment records for Premium plan purchases (amount, currency, term, and status), processed by Xendit; we don't collect or store your card or e-wallet details ourselves.

Collected automatically: basic device and usage data (browser type, pages visited, timestamps) through standard web analytics, used to keep the dashboard reliable and to understand what features are actually used.

• Operate the core features: attendance capture, roster management, lineup building, gear progress cycles, and reward rotation.
• Send you bell notifications and, for a small set of events, Discord DMs (for example a gear submission being approved, or an applicant decision).
• Process Premium plan payments and keep your guild's plan status accurate.
• Diagnose bugs, monitor performance, and improve the product.
• Comply with legal obligations, and enforce our Terms of Service.

We use industry-standard measures to protect your data, including encrypted connections (HTTPS) and access-controlled hosting. No method of storage or transmission is perfectly secure, so we can't guarantee absolute security, but we work to keep guild data isolated from other guilds and accessible only to the people who need it.

We don't sell your personal data. We share it only with:

• Discord, to authenticate you and deliver bot messages.
• Xendit, to process Premium plan payments.
• Our infrastructure providers (hosting and database), who store data on our behalf and don't use it for their own purposes.
• Authorities, if required by law or to protect the rights and safety of OMNIS, its users, or the public.

We use a session cookie to keep you signed in on the dashboard, and cookies from our analytics provider to understand aggregate usage. You can block or clear cookies in your browser, though the dashboard requires a session cookie to work.

We keep guild data for as long as the guild remains active on OMNIS, so history like attendance and reward records stays intact. If a guild removes the bot or a member asks us to delete their data, we'll remove personal data we're not otherwise required to keep, though some records may persist in backups for a limited period before they age out.

You can ask us to:

• Tell you what personal data we hold about you.
• Correct inaccurate data.
• Delete your personal data, subject to the retention note above.

OMNIS isn't directed at children under 13, in line with Discord's own terms. If we learn we've collected personal data from a child under 13, we'll delete it.

We may update this policy from time to time. We'll update the effective date above when we do; continuing to use OMNIS after a change means you accept the updated policy.
